PSYC Event Registration Cancellation Policy


This policy applies to all events, activities or meal bookings where payment is required, including those where no upfront deposit was requested.

This policy is designed to ensure fair treatment for both members/guests and the club, allowing the club to manage resources and define liability should a cancellation arise.

Most venues have a cut-off date for when final numbers and/or menu choices have to be confirmed.

Cut-off dates will be 7 days prior to the event unless otherwise specified in the event details.

If a booking has been made for events, activities or meals the following will apply:

Cancellation Window: We kindly request that you notify the club of any cancellations at your earliest convenience.

No-Show Fee: In the event of a no-show (failure to arrive for your booking) and if the venue requests all or part payment for your booking, you will be required to reimburse the club for these costs.

Events, Activities & Bookings: If cancellations are made after the cut-off date and if the venue requests all or part payment for your booking, you will be required to reimburse the club for these costs.

How to Cancel

Cancellations can be made via the PSYC website up to 7 days prior to the event(unless otherwise specified in the event details) at https://psyc.uk or by email to portsolentyc@gmail.com 

Please ensure you have received confirmation of your cancellation.

Reasoning for the Policy

This policy is necessary because 
Food Waste: Cancellations made after the Cut-off date lead to food being prepared unnecessarily and subsequently wasted.

Operational Costs: Venues incur extra costs for staff and ingredients based on the number of confirmed bookings. Cancellations after the cut-off date impact the venues’ ability to manage these costs efficiently.

Venues Policy: Venues have their own cancellation policies which we must adhere to.We work hard to maintain good relationships between our Club and the venues, and they should not be out of pocket due to cancellations.
